Creating and Managing Subuser Profiles

Who is a user?

A user is someone who has a specific role to play in your service. It could be a customer, employee, or content partner.

  • Customers watch your content, pay for subscriptions, or buy content.

  • Employees handle different tasks like content management or analytics.

  • Content Partners upload videos and check performance reports.

This guide is about creating and managing your employee profile

Why should your employees have a separate user account?

You can ensure smooth operations and manage content by creating user profiles for your employees.

The primary purpose of creating user profiles is to assign roles and permissions to each employee based on their job responsibilities. This helps to ensure that each employee only has access to the tools and information they need to perform their job duties, while also keeping sensitive information secure.

Additionally, user profiles can also help to streamline the content creation process. For example, you can assign specific employees to be responsible for certain tasks, such as uploading new content and managing the details associated with it, or planning marketing emails. This can help to ensure that tasks are completed in a timely and efficient manner, while also reducing the risk of errors or miscommunication.

Creating a sub-user profile

Here is how to create a sub-user profile

  • From the My Profile section of the left menu, select Manage Subuser

  • Click on the Add button

You will see a page where you can fill in the details of the user.

  • Fill in user details such as Name, Login username, password, and email address

  • Select Yes in the Is Content Partner field- if the user is a third-party content creator and No if they are your employees.

Warning๐Ÿšจ: Is Content Partner field is not editable. So make sure you set it to NO for your employees and YES for third-party content creators.

  • Grant the user the required permissions by checking them, and clicking the Submit button.

Below is the list of permissions available for different sub-users. They are sorted by category for your convenience.

Deleting Subuser profile

You may want to delete the created profiles for various reasons like

  • Remove access to former employees or contractors who no longer need access to the CMS to ensure data security.

  • Delete duplicate or inactive accounts to avoid clutter in the CMS and make it easier to manage.

  • Limit the number of active user accounts to minimize the risk of security breaches and unauthorized access.

Here is how you can do it

  • From the My Profile section of the left menu, select Manage Subuser

  • Click on the Delete button (under the Action column) to the right of the user

Editing Subuser profile

Regularly review and update user permissions to ensure that employees only have access to what they need to do their job.

  • If an employee's role changes and they require additional access to the platform, their user profile can be edited to reflect their new permissions.

  • Similarly, if an employee moves to a different team within your organization, their access to the platform may need to be adjusted to reflect their new responsibilities.

To edit their permissions

  • From the My Profile section of the left menu, select Manage Subuser

  • Click on the pencil icon ๐Ÿ–‰

  • Select the domain

  • Make changes to the permission and hit the Update button
